EXECUTIVE ADMINISTRATIVE ASSISTANT

Reports to: Executive Director
Position: FULL TIME (40 HRS/WK)

Job Description:
The Executive Administrative Assistant will be the primary individual responsible for the supporting the administrative needs of the Executive Director (ED) and providing additional administrative support for the rest of the office. The Executive Administrative Assistant’s role will intersect across several functions in the organization including but not limited to Development and Operations.

About the Organization:

National Advocates for Pregnant Women (NAPW) is a progressive 501©3 organization that works to secure the rights and human dignity of all women, particularly pregnant and parenting women and those who are most vulnerable including low income women, women of color, and drug-using women.
Our work encompasses litigation, litigation support and legal advocacy; local and national organizing; public policy development, public education and outreach. Two principles guide all NAPW activities: to build bridges and align agendas across diverse public health and social justice movements, and to leverage and connect local organizing and activism with national advocacy and policy work. To that end, NAPW is actively involved in ongoing court challenges to punitive reproductive health and drug policies and provides litigation support in cases across the country. NAPW engages in local and national organizing and public education efforts among the diverse communities that are stakeholders in these issues, including the women and families directly affected by punitive policies, as well as public health and policy leaders.

Major Duties & Responsibilities

Executive Calendar Management
o Maintain ED’s Schedule, update the ED’s professional calendar with complete details about speaking engagements and travel
o Schedule all engagements accordingly based on ED availability
o Update entire management team as to the ED’s schedule and help schedule meetings and events accordingly

Travel Management
o Make and manage all travel arrangements for the ED.
o Act as the liaison between ED and travel destinations.
o Prepare all materials & literature for travel

Information Management
o Managing telephone calls for the Executive Director
o Responding to select emails and prioritizing email responses for ED
o Compiling and submitting all travel receipts for ED
o Coordinate all input into database for contacts
o Assist the ED in special projects

Technology Management
o Coordinate inputting data into 4-D database system (both fundraising/donor information and educational contacts)
o Help resolve any technology issues, working closely with the Office Manager.

Special Projects & Additional Administrative Duties
o Work closely with Development Director on development efforts including special events and major donor development
o Work closely with Consultants on CLE programs including coordinating travel for guest participants.
o Coordinate staff travel for attending conferences.
o Provide basic administrative support for the office, ie. Mailings, supply ordering

Qualifications:
The Candidate will at least hold a college degree or its equivalent.
The candidate should have at least 3 - 5 years of direct experience as an assistant to an Executive Director or CEO
The candidate should be comfortable with NAPW’s mission and with working in a fast paced environment
The candidate should be well versed in a MAC environment
The candidate must possess a willingness to be flexible and capable of multi- tasking in addition to be well organized and detail oriented

SALARY RANGE: $40,000 to $45,000, Depending on Experience
